Data File Conversion Utility

USAGE

This utility will move your Training Provider data to a new Data File which provides for VET Data export for the year 2011 and later.

After using the Data File Conversion Utility, you must install the appropriate Update.

MS-Access 97, 2000, 2002/XP, 2003, 2007 or 2010 (note that it hasn't been tested under MS-Access 2010) must already be installed on the computer on which the Utility will be run. Irrespective of whether you have different versions of MS-Access on different workstations (ie in a multi-user network scenario), you only need to run this conversion once - because you have only one Data File.

INSTALLATION

Read these Guidelines

PLEASE read these guidelines BEFORE you run the installer.

Note that the Conversion Utility will create a backup copy of your existing Data File (in the same folder as the existing Data File). If your existing Data File is named TrgPr_DB.mdb (the default), the backup file will be named TrgPr_DBBckp000.mdb. If this file already exists, the new backup will be named TrgPr_DBBckp001.mdb (and so on).

In summary, this is what happens when you run the Conversion Utility installer:

  1. the Conversion Utility files and a NEW Training Provider Data File are installed to the specified folder;
  2. the Data Conversion Utility automatically starts:
  3. all necessary checks are done;
  4. a temporary copy of the existing Data File is made;
  5. the temporary copy of the existing Data File is repaired and compacted;
  6. data is transfered from the temporary copy of the existing Data File to the NEW Data File;
  7. the temporary copy of the existing Data File is deleted;
  8. the existing Data File is renamed to the backup filename;
  9. the NEW Data File is renamed (to the name of the original Data File) and, if necessary, moved to the relevant folder;
  10. a completion message is displayed.

If the Data File is on a server, and the Conversion Utility is installed and run from a workstation, the conversion may take some time (perhaps even an hour) and will generate a moderate amount of traffic on the network. Training Provider cannot be used while the conversion is underway. For these reasons it would be best run while the network is not in use (perhaps outside normal business hours).

If your 'server' is actually a workstation on which Training Provider is currently used, running the Data File Converter on this computer may result in a faster conversion (just a few minutes perhaps).

Get the Data File Conversion Utility

Click on the relevant following link and, when prompted, choose Save (not Open). Then, in the Save As dialog, select the folder to which you'd like to save the Data File Conversion Utility on your computer (make a note of it because you'll need to go to it in a moment) and click Save. (Note: It is suggested that you save the Utility to the default TrgPr folder on your workstation. This is C:\Program Files\TrgPr).

Check Access 2000

This section only applies if you plan to run the Data File Converter under MS-Access 2000 (so skip to the next section if you are planning to use any other version of MS-Access).

MS-Office Service Packs SP-1a and SP-3 must have been installed if you plan to run the Data File Converter under MS-Access 2000.

To check your copy of MS-Access:

  1. open MS-Access;
  2. click on Help (on the right of the menubar) then About Microsoft Access;
  3. look within the brackets in the first line of the About dialog;
  4. to the right of a number such as 9.0.6926 it will say nothing if no service packs have been applied - or, for example, it will say SP-3 if SP-3 has been applied.

If you need to get the MS-Office service packs, visit www.microsoft.com and enter "Office Service Pack" in the search facility. Please follow the service pack installation instructions on the Microsoft website - and consult Microsoft if you need assistance with this because it is a system maintenance issue not a Training Provider issue.

Make a Backup

BEFORE running the installer:

  1. MAKE A BACKUP of your Data File (and store it on a separate computer or media). To determine the name and location of your Data File, start Training Provider (or go to the Main Menu if you already have it open) then click on File (on the menubar) and then See Data File Location.
  2. Ensure that everyone has closed Training Provider.

Run the Installer and the Data File Conversion Utility

To install the Data File Conversion Utility and undertake the conversion:

  1. open Windows Explorer;
  2. go to the folder to which you saved the Utility (C:\Program Files\TrgPr if you followed the suggestion above);
  3. double-click on the file SetupTrgPrDataConv97.exe (for Access 97) or SetupTrgPrDataConvX2.exe (for Access 2000, 2002/XP, 2003, 2007 or 2010);
  4. when prompted for the location to which to save the Utility it is suggested you choose C:\Program Files\TrgPr;
  5. when prompted for the location of your Data File, browse to it.

After Successful Conversion

On successful completion of the Data File conversion:

  1. Move the backup that was created by the Utility (see the Guidelines above) to a different location (or external media such as a CD or tape) - to avoid confusing it with your live Data File in future.
  2. Uninstall the Conversion Utility by running UninstTrgPrDataConv.exe (which is found in the folder to which you installed the Conversion Utility).
  3. Delete the Utility's installer file: SetupTrgPrDataConv97.exe or SetupTrgPrDataConvX2.exe (which is found in the folder to which you installed the Conversion Utility).
  4. Install the latest Update of Training Provider. (You won't be able to use Training Provider until you've done this).
